20-minute Coaching Plan: SWOT

Training Plan: Introduction to SWOT Analysis

Duration: 20 minutes

Objective: To introduce the concept of SWOT analysis (Strengths, Weaknesses, Opportunities, and Threats) and its application in personal and professional development during a 1-2-1 training session.

Materials Needed:

  • Whiteboard or flip chart and markers (optional)
  • Handouts (optional)

Training Agenda:

Introduction (3 minutes)

  • Welcome the participant to the 1-2-1 training session.
  • Explain the purpose of the session: To introduce the SWOT analysis framework and its relevance in identifying and strategising around internal and external factors.

Definition of SWOT Analysis (2 minutes)

  • Provide a clear definition of SWOT analysis:
    • SWOT stands for Strengths, Weaknesses, Opportunities, and Threats.
    • It is a strategic planning tool used to assess an individual's or organisation's current position and potential future outcomes.

Strengths and Weaknesses (5 minutes)

  • Discuss the concept of strengths and weaknesses:
    • Strengths are internal factors that represent an individual's or organisation's advantages or assets.
    • Weaknesses are internal factors that represent areas where improvement or development is needed.
  • Encourage the participant to reflect on their personal strengths and weaknesses and share examples.

Opportunities and Threats (5 minutes)

  • Explain the concept of opportunities and threats:
    • Opportunities are external factors that offer potential advantages or avenues for growth.
    • Threats are external factors that pose challenges or risks to an individual or organisation.
  • Discuss how identifying opportunities and threats can help in planning and decision-making.

Interactive SWOT Exercise (3 minutes)

  • Engage the participant in a brief SWOT analysis exercise. Ask them to jot down:
    • Three of their personal strengths.
    • Three personal weaknesses or areas for improvement.
    • Three opportunities they see in their current situation.
    • Three external threats or challenges they are aware of.

Discussion (4 minutes)

  • Review the participant's SWOT analysis and engage in a discussion:
    • Ask the participant to share some of their identified strengths, weaknesses, opportunities, and threats.
    • Explore how they can leverage strengths and opportunities while addressing weaknesses and mitigating threats.

Application and Action Planning (2 minutes)

  • Encourage the participant to identify one specific action they can take based on their SWOT analysis.
  • Discuss the importance of using the SWOT analysis as a basis for personal or professional development planning.

Conclusion and Q&A (1 minute)

  • Summarise key takeaways from the session.
  • Invite the participant to ask any remaining questions or seek clarification on SWOT analysis.

Feedback and Evaluation (1 minute)

  • Collect feedback from the participant regarding the training session, including what they found most valuable and any areas they would like to explore further.

Closing Remarks (1 minute)

  • Express appreciation for the participant's engagement and participation.
  • Provide contact information for any follow-up questions or assistance.

Note: This 20-minute training plan provides a concise introduction to SWOT analysis for 1-2-1 delivery. Depending on the participant's familiarity with the concept, you may need to adjust the timing and depth of discussion accordingly.

  • Scenario Description: During a team meeting, a Muslim employee requests time off for Friday prayers, which overlap with a critical project deadline. Some team members express frustration, citing the importance of meeting deadlines.

Discussion Points:

  • What are the equality and diversity considerations related to religious accommodation?
  • How might the Muslim employee and other team members feel?
  • How can the team find a solution that respects diversity while meeting project deadlines?
