What learners get
The full PassportPro toolkit for every learner
One annual licence covers your whole cohort. These are not add-ons or limited trials.
AI CV coach, target-role ready
Scores their draft CV out of 100 against a fixed rubric, whether that is a first job, an apprenticeship or a UCAS-adjacent application. Surfaces hidden gems they forgot to include, like placement days, extracurricular certificates and employer talks, then asks coaching questions instead of writing generic AI lines.
Reflective career coaching
The Career Coach asks reflective questions about the entries and goals a learner has actually added, helping them turn work placements, enterprise days and employer talks into interview-ready strengths. It never invents experiences and never writes for them.
A record they keep for life
Unlike a school-locked system that is wiped on leaving day, each learner owns one account. Work emails and employers attach to the learner, so their history, reflections and certificates travel with them into college, university or their first job.
Credential and certificate vault
Unlimited storage for DofE awards, first aid, GCSE and BTEC certificates, safeguarding micro-credentials and placement references, with expiry tracking so nothing quietly lapses before it is needed.
Growth Plan and milestone journey
Learners set their own goals and track progress over time, with a visible milestone journey that rewards steady, reflective learning rather than one-off bursts.
Courses and qualifications via credits
Add regulated qualifications, safeguarding courses and workplace diagnostics for individuals or the whole cohort whenever you need them, using the credits wallet. Course learners are never paid seats.
Gatsby Benchmarks
Where it helps with the benchmarks
WorkplaceHero supports the evidence and reflection around these benchmarks. It does not replace your careers programme or deliver the activities themselves.
Addressing the needs of each pupil
Personal career passports, CV reviews targeted at each learner's next step, and development goals the learner sets themselves, so guidance builds on what they have actually done.
Encounters with employers and employees
Talks, visits and fairs are logged as dated entries with a short reflection on what they learned while it is fresh, not a tick-box after the fact.
Experiences of workplaces
Placements and work experience become reflective portfolio entries with evidence attached, ready to talk through with a careers adviser or include in a CV.
Personal guidance
Learners arrive at guidance meetings with real data: their CV score, logged encounters, credentials and draft goals, rather than starting from a blank page.
For careers leaders and tutors
Oversight for you, privacy for them
Cohort oversight
See who has logged encounters and who is falling behind on placements, so gaps surface before reporting deadlines rather than after.
Safeguarding-aware by design
Learners can never see each other's records, but enrolled learners are never invisible to your institution. Designated staff, including your DSL, retain audit access in line with KCSIE and your acceptable use policy, and AI coaching is prompt-only, never an open-ended private chat.
Group management
Organise learners by year group, tutor group or vocational pathway, and add courses or diagnostics for a whole cohort with credits whenever you need them.

Pricing and delivery
One annual licence, priced for education budgets
A single annual institution licence covers your learners, quoted for your cohort size and invoiced - no per-seat monthly billing and no card checkout. AI features run on a pooled credit allocation (typically 1,000 to 1,500 credits per academic year) that your careers team allocates to the groups that need it most. Credits last 365 days from purchase and do not roll over, so each year's spend is fixed and predictable. Course materials, qualifications and diagnostics can be added at any time with credits, and course learners are never paid seats.
Questions, answered
What do learners actually get on the licence?+
Every active learner gets a full PassportPro account: the AI CV coach, the reflective Career Coach, unlimited credential storage, the Growth Plan and the milestone journey, all inside a passport they keep for life.
How does the AI credit allocation work?+
Your institution buys a pooled allocation of AI credits (typically 1,000 to 1,500 per academic year) and your careers team decides where they go: a Year 13 UCAS cohort, T-Level placement groups, or 1:1 guidance drop-ins. Credits last 365 days from purchase and do not roll over, so each year's budget is clean and predictable.
Does the CV coach write CVs for learners?+
No. It scores their CV out of 100 against a fixed rubric, points to the lines that work and the ones that hold them back, and asks coaching questions so learners find better wording themselves. The voice stays authentically theirs.
Do learners keep their passport after they leave?+
Yes. Each learner owns one account for their whole career. Work emails and employers attach to the learner, never the other way round, so their record, reflections and certificates move with them into further study, university or work.
Can learners see each other's records?+
Never. Peer privacy is absolute: no learner can see another learner's CV, credentials, goals or reflections. While a learner is enrolled under your licence, however, their activity sits under your institution's acceptable use and safeguarding policies, and designated staff such as your DSL retain audit access where safeguarding or welfare requires it. Once a learner turns 18 or leaves, their passport becomes a fully independent personal account.
How does safeguarding work for under-18 learners?+
The platform is designed for institutional oversight, not anonymity from staff. Designated safeguarding and careers staff can review learner activity in line with Keeping Children Safe in Education and your own policies, so the platform never becomes a private channel between a learner and an AI. AI coaching is prompt-only and deterministic: it asks questions and scores against fixed rubrics, it does not hold open-ended conversations.
How does this support Gatsby Benchmark reporting?+
Learners log encounters, experiences of work and personal guidance as dated entries with reflections. Careers leaders can see who has logged activity across the cohort, so gaps surface before reporting deadlines rather than after.
