Cookie policy

WorkplaceHero uses cookies and similar technologies to make our website and platform work, keep it secure, remember certain preferences and understand how our services are being used. We believe you should understand what these technologies do and have appropriate control over non-essential cookies.

Last updated: October 2026

What are cookies?

Cookies are small pieces of information stored on your device when you visit a website.

They can perform a range of functions, such as keeping you signed in, remembering preferences, supporting security and helping website owners understand how their services are being used.

Some cookies last only for your current browsing session and are removed when you close your browser. Others may remain on your device for a defined period.

We may also use similar technologies that perform comparable functions. We refer to these collectively as "cookies" in this policy for simplicity.

Essential cookies

Essential cookies are necessary for WorkplaceHero to operate properly and securely. They may be used to:

  • keep you signed in to your account;
  • maintain secure sessions;
  • remember essential choices or settings;
  • support account and platform security;
  • prevent fraud or misuse;
  • maintain functionality as you move between pages;
  • remember your cookie preferences; and
  • provide services that you have specifically requested.

Because these technologies are necessary to provide the website or platform, they do not require the same consent as optional cookies and cannot normally be disabled through our cookie controls.

You can still block cookies through your browser, but doing so may prevent parts of WorkplaceHero from working correctly.

Analytics cookies

Analytics help us understand how people use WorkplaceHero. For example, they may help us understand:

  • which pages are visited most frequently;
  • how visitors navigate through the website;
  • how long people spend using particular areas;
  • where users encounter errors or leave a journey;
  • which features are being used; and
  • how changes to the website affect its overall performance.

We use this information to improve WorkplaceHero, our learning content and the experience we provide.

Where analytics cookies or similar technologies require consent, they will not be activated until you have made the relevant choice.

We aim to configure analytics services in a privacy-conscious way and avoid collecting more information than we reasonably need.

Functional cookies

We may use functional technologies to provide enhanced features or remember choices that are not strictly necessary for the basic operation of the service.

For example, these could be used to remember certain display, accessibility or user-experience preferences.

Where these technologies are not strictly necessary, we will treat them as optional and request consent where required.

Third-party services

Some WorkplaceHero features may rely on trusted third-party services. These could include services used for areas such as:

  • website and platform infrastructure;
  • analytics;
  • payments;
  • video or other embedded content;
  • customer support;
  • security; or
  • other functionality that you choose to use.

A third-party service may sometimes place or access cookies when its functionality is used.

We assess the services we integrate with WorkplaceHero and seek to limit unnecessary tracking.

Where a third-party cookie is not essential to provide a service you have requested, we will seek consent where required before it is activated.

Our Privacy Notice provides further information about how we handle personal information and the organisations that may process information on our behalf.

Payments

Where you make a payment through WorkplaceHero, our payment provider may use cookies or similar technologies that are necessary to process the transaction securely, prevent fraud and provide payment functionality.

Some of these technologies may be necessary for the service you have requested and may therefore operate independently of optional analytics or marketing preferences.

Payment card information is handled through our payment provider rather than being stored directly within ordinary WorkplaceHero website cookies.

AI features

Our use of artificial intelligence does not mean that we use additional advertising or tracking cookies simply because a feature is AI-enabled.

Where an AI-enabled feature needs information from your WorkplaceHero account, access to that information is governed by our privacy, security and Responsible AI arrangements rather than by using cookies to monitor you across unrelated websites.

You can read our Responsible AI statement for more information about how we use artificial intelligence.

Marketing and advertising cookies

We do not use advertising or marketing cookies unless they are specifically identified within our cookie controls and you have been given an appropriate choice where consent is required.

If we introduce new advertising, retargeting or similar tracking technologies in the future, we will update our cookie arrangements and obtain consent where required before using them.

Your cookie choices

When you first visit WorkplaceHero, you may be given the opportunity to choose whether optional cookies can be used.

Essential cookies required for the website or platform to operate cannot normally be disabled through these controls.

For optional cookies, you can choose whether to provide consent.

Where consent is the basis for using a cookie, you can change your mind and withdraw that consent.

Rejecting optional cookies should not prevent you from accessing the core WorkplaceHero service, although some optional functionality may be affected.

Changing your preferences

Where available, you can use our cookie settings to review or change your choices.

You can also control cookies through your web browser. Most browsers allow you to:

  • view cookies stored on your device;
  • delete existing cookies;
  • block some or all cookies;
  • block third-party cookies; and
  • change how websites are permitted to store information.

The exact controls depend on the browser and device you use.

Blocking all cookies may affect your ability to sign in or use some WorkplaceHero features.

How long are cookies kept?

Different cookies are retained for different periods depending on their purpose.

Some are session cookies, which normally expire when you close your browser. Others are persistent cookies, which remain for a defined period or until you remove them.

We aim to retain cookies only for as long as reasonably necessary for the purpose for which they are used.

Where appropriate, more detailed information about individual cookies and their duration will be provided through our cookie consent or settings interface.

Cookies and personal information

Some cookie information may constitute personal data, particularly where it can be associated with an account, device or other identifier.

Where this happens, our use of that information is also governed by our Privacy Notice and applicable data protection law.

We do not treat accepting optional cookies as consent to unrelated uses of your personal information.

Changes to the technologies we use

WorkplaceHero continues to develop, and the technologies used by our website and platform may change.

We may update this Cookie Policy when:

  • we introduce a new service or platform feature;
  • our analytics arrangements change;
  • we integrate a new third-party service;
  • relevant legal or regulatory requirements change; or
  • our use of cookies otherwise changes materially.

Where a change requires new consent, we will ask you to make an appropriate choice rather than relying automatically on a previous consent.
