Independent recording tool, not endorsed by these bodies. Annual targets are editable planning aids, not compliance checks. Passport does not submit returns, approve activities or convert hours into regulator credits. Published standards tags are available only for existing supported frameworks.
WorkplaceHero is an independent record-keeping tool. We do not accredit learning, certify compliance or guarantee that a regulator will accept your record - meeting your regulator's requirements remains your responsibility. We research regulator and professional body guidance from official sources, record the source and the date we last checked it, and review entries when rules change. Requirements can change without notice, so always confirm the current rules, exemptions and deadlines with your regulator or professional body before relying on them. If you spot something out of date, tell us and we will check and correct it. Report an update
What's inside
Fast logging
Courses, reading, podcasts, mentoring, the conversation that changed how you work. Add hours, a reflection and a certificate - and you're done.
Habit rings
Weekly and monthly streaks and a Passport Score built on consistency, reflection and balance. Your top bar warns you before a streak slips.Consistency - close the ring by logging regularly, little and often.Reflection - fills as you write what you learned, not just what you did.Balance - rewards learning across different areas, not just one.
Trophy cabinet
Medals unlock as you log, with progress rings on the ones you're closest to - and a moment of confetti when they land.
Exports
Ready for your regulator, appraisal or audit. Import your old spreadsheet too, so nothing gets left behind.
Yours for life
Your record belongs to you, not your employer. Change jobs and every entry, reflection and certificate comes too.
Continuing Professional Development only counts if it's written down. Whether you're a nurse facing revalidation, a teacher heading into performance review, a surveyor with an annual return to file or an accountant staring at a CPD declaration, the difference between "I did some learning this year" and a credible record is whether you wrote it down at the time.
Most people don't. Not because they're lazy - because the tool is a spreadsheet buried three folders deep, and nobody opens a spreadsheet on a Tuesday night.
So we made logging take about ninety seconds.
See it in action
Real screens from the real tool - no mock-ups, no "imagine this". This is what you get the moment you sign up.
Courses, e-learning, reading, mentoring, conferences, shadowing, the CPD you did on the job without calling it CPD. One log, one format, one place you'll actually keep up with.
Set your annual target and watch it fill up. No adding columns, no wondering whether you're short going into December.
Regulators don't just want hours - they want to know what changed. Every entry has space for your reflection and learning outcomes, so when someone asks "and how did that affect your practice?", you've already answered it.
A clean PDF or CSV summary, ready for your appraiser, your professional body or an interview panel. Filter by year, activity type or competency first if you only need part of it.
Change jobs, change sector, go freelance - your record comes with you. No employer platform holding your last four years of learning hostage.
Already keep a spreadsheet?
You don't have to start from scratch or retype years of records. If your CPD lives in Excel, Google Sheets or an old employer system, save it as a CSV and import the lot in one go.
Everything you import stays yours - edit it, add reflections, export it, or undo the whole import within 24 hours if it doesn't look right.
Save your file as a CSV
In Excel or Google Sheets choose File, then Save as or Download, and pick CSV. One row per activity, with a header row at the top.
Open your CPD log and choose Import
The Import button sits next to CSV export on the Entries tab. There's a template you can download if you'd rather start from our format.
Match up your columns
We guess which of your columns is the date, title, hours, activity type, provider and reflection - you just correct anything we got wrong.
Check the preview and import
You'll see how many rows are ready, which have problems, and any that look like duplicates of entries you already have. Nothing is saved until you confirm.
Dates are read UK style, day first: 14/10/2026, 14 Oct 2026 or 14th October 2026 all work, and times after the date are ignored. Hours should be in hours, not minutes - half an hour is 0.5. The template includes example rows to copy.
Free vs Pro
Everything you need to keep a credible record is free, permanently. PassportPro adds the understanding layer - what your record means, and where to take it next.

Fair. Plenty of people get away without one right up until the year they're audited, or the year they need to evidence three years of development for a job they really want.
The honest case for it: five minutes a month now saves you a very bad weekend later. And a proper record makes you far better at spotting the gaps in your own skills, which is the point of CPD in the first place.
Appraisal-ready
Export a clean PDF of your hours, activities and reflections in one click - or share a read-only link you can switch off any time. You choose what goes in it.
WorkplaceHero also runs the other side of the picture - the same login your people already use covers how your team learns and how it performs together.
Once you have an account you get a personal invite link. Share it with a colleague, and when they join, log their first CPD entry and earn their first badge, you both get money off online compliance training.
One reward per new person, up to 10 rewarded referrals a year. Codes last six months, are single use, and cannot be combined with another offer - the better of the two applies.
