Learning with purpose

Show how learning benefits the people using your service.

A useful CPD record connects a learning need to a change in practice. Capture what you planned, what you learned and an example of its benefit. Your personal notes can help you prepare the official record in your own words.

01

Record what you did

Add the activity, date, provider and time spent. Courses are only the start - record supervision, reading and learning from practice too.

02

Capture what changed

Add a reflection while the learning is fresh: what you learned, why it matters and what you will do differently in practice.

03

Share when you choose

Export a clear PDF or CSV, or create a read-only link for an appraiser. You stay in control of your record.

The rules at a glance

GPhC annual revalidation requirements

The GPhC regulates pharmacists and pharmacy technicians in Great Britain. Northern Ireland has a different regulator. This is a records-based scheme, not an hours quota.

RequirementWhat appliesWhat to check
CPD records4 each yearAt least 2 must be planned learning records
Peer discussion1 each yearReflect on your practice with a suitable peer
Reflective account1 each yearFrom 1 January 2026, address any of the 9 standards for pharmacy professionals
HoursNo fixed minimumDescribe relevant learning and the benefit to people using your services
SubmissionYour individual annual renewal deadlineSubmit all six records through myGPhC; check your personal dates and notices
  • From 1 January 2026, the reflective account may address any of the nine standards for pharmacy professionals. Follow current submission instructions.
  • An ordinary reflection on a CPD entry does not automatically replace the required reflective account or peer discussion record.
  • Passport does not submit to myGPhC. Avoid patient identifiers and complete the official records separately.
  • GPhC permits limited AI support such as grammar checking, but not creating full submissions or falsifying information. Your record must accurately describe your own practice.

Keep the same personal Passport through changes of employer, role and working pattern. Your employer does not automatically see your personal reflections.

Private by default

Your employer does not automatically see personal reflections. You decide what to share.

Evidence alongside the learning

Attach supporting files to CPD entries and export a PDF or CSV for your own records. You decide what to share and must check what your body requires.

No lock-in

Download your record as a PDF or CSV whenever you need it.

WorkplaceHero helps you organise your CPD. Check current GPhC guidance for your role and circumstances. WorkplaceHero is not affiliated with or endorsed by GPhC. WorkplaceHero is an independent record-keeping tool. We do not accredit learning, certify compliance or guarantee that a regulator will accept your record - meeting your regulator's requirements remains your responsibility. We research regulator and professional body guidance from official sources, record the source and the date we last checked it, and review entries when rules change. Requirements can change without notice, so always confirm the current rules, exemptions and deadlines with your regulator or professional body before relying on them. If you spot something out of date, tell us and we will check and correct it. Report an update

Questions, answered

Before you start

Does GPhC require a set number of CPD hours?
No. Annual revalidation requires four CPD records, at least two planned, plus one peer discussion and one reflective account. It is not a fixed-hours scheme.
Do pharmacy technicians need the same revalidation records?
Yes. The GPhC revalidation framework applies to registered pharmacists and pharmacy technicians. Check any individual arrangements directly with the GPhC.
Which standards should my reflective account cover?
From 1 January 2026, your reflective account may address any of the nine standards for pharmacy professionals, rather than only a previously selected subset. Check current submission instructions.
Can Passport submit my GPhC records?
No. Passport is a separate personal log. Prepare and submit the required records in myGPhC, following official instructions.
What does free Passport include?
Your personal CPD log, hours tracking, your own reflections, evidence attached to entries, CSV import and PDF or CSV record exports. No card or trial is required. PassportPro is optional. Passport does not decide whether an activity meets your body’s requirements or submit official records.
