How to spend less time managing professional development records

CPD admin should take minutes a month, not hours a year. Five changes that cut the time you spend on records without weakening them.

Record keeping should support your development, not eat your evenings. If managing your CPD record feels like a second job, the process - not you - is the problem.

1. Log at the point of learning

The single biggest time saver. An entry written in two minutes straight after a session replaces twenty minutes of reconstruction months later - and it is more accurate.

2. Keep everything in one place

Every minute spent hunting for a certificate across email, downloads folders and shared drives is pure waste. One log, one home for evidence. When evidence is attached to the entry, there is nothing to find later.

3. Use a simple entry structure

Decide once what every entry needs - date, activity, hours, what you learned, what changed - and never think about format again. Consistency is what makes a record quick to write and easy to review.

4. Review little and often

Fifteen minutes a month keeps the record current and the reflection genuine. It also means your annual submission is an export, not a project.

5. Let the tool do the admin

Totals, targets, reminders, exports - these are exactly the jobs software does better than people. If you are adding up hours by hand, you are doing a computer's job.

What good looks like

A healthy CPD record costs you about two minutes per learning activity plus fifteen minutes a month. Everything above that is process friction you can remove.
